Terms & Conditions
These terms apply to every safari booked with Mwema Safaris. By paying a deposit you confirm that you have read and accept them. Your written quote sets out the price and inclusions for your trip.
1. Quotes and prices
Prices on this website are guide prices per person in US dollars, based on 2 travellers sharing and 2027 park fees. The price for your trip is the one confirmed in your written quote. Gorilla and chimpanzee permits are charged at the Uganda Wildlife Authority (UWA) rate, with no mark-up.
2. Booking confirmation
Your booking is confirmed once we have received your deposit and sent you written confirmation by email. Permits and lodges are reserved only after payment is received, and are subject to availability.
3. Deposit and payment
- At booking: gorilla and chimpanzee permits in full, plus a deposit of 30% of the remaining trip cost.
- Balance: due 60 days before arrival.
- Bookings made within 60 days of arrival are payable in full at booking.
- Payment is by bank transfer in US dollars or by card. Card payments carry a 3.5% processing fee. Bank charges are paid by the sender.
4. Cancellation by you
Cancellations must be made in writing by email. The following charges apply to the non-permit portion of your trip:
- 60 days or more before arrival: loss of the deposit.
- 30 to 59 days before arrival: 50% of the trip cost.
- Less than 30 days before arrival, or no-show: 100% of the trip cost.
Gorilla and chimpanzee permits are non-refundable once purchased. They may be rescheduled to new dates under UWA rules, subject to availability and any UWA fees.
5. Price changes
We will not change your confirmed price except where costs outside our control change before you travel, such as government taxes, UWA permit or park entry fees, or similar official charges. Any such change is passed on at cost and we will tell you as soon as we know.
6. Itinerary changes and force majeure
We may need to adjust your itinerary because of weather, road conditions, park rules, safety advice or lodge availability. Where we do, we will provide an alternative of a similar standard. We are not liable for failure to perform, or for extra costs, caused by events beyond our reasonable control, including natural disasters, epidemics, civil unrest, strikes, government action or flight disruption. Changes you request after confirmation are made where possible and may carry extra costs.
7. Your responsibilities
- A passport valid for at least 6 months after your arrival date, with blank pages.
- A valid visa for Uganda (and any other country you visit).
- A valid yellow fever vaccination certificate, which is required to enter Uganda.
- Telling us about any medical conditions, dietary needs or mobility limits that may affect your trip, and meeting the UWA minimum age and health rules for gorilla and chimpanzee trekking.
- Following the instructions of your guide, park rangers and lodge staff, and respecting wildlife, local people and park rules.
8. Travel insurance
We strongly recommend comprehensive travel insurance covering medical care, emergency evacuation, cancellation and loss of belongings.
9. Liability
We take care to choose reliable lodges, vehicles and partners. Hotels, airlines and other independent suppliers are responsible for their own services. We are not liable for injury, illness, loss, damage or delay that is not caused by our own negligence. Wildlife activities carry natural risks, and you take part in them at your own risk. Our liability is in any case limited to the amount you paid us for the trip.
10. Complaints
If something is not right during your safari, please tell your guide or contact us straight away so we can try to fix it on the spot. If you remain unhappy, email mwemasafarisug@gmail.com within 30 days of the end of your trip and we will reply within 14 days.
